It’s also time to start booking your travel so get your boots ready to head to Nashville!

Please review the below information very carefully as it details the travel guidelines for this meeting.

Travel to this meeting must be booked through Direct Travel (online via Concur or by phone).  There are no exceptions to this. You will not be reimbursed for travel that is booked outside of these guidelines.

Please note that we have an agreement in place with Southwest Airlines that provides discounted fares during our travel dates. If you can book on Southwest, and the flight times make sense, please try and take advantage of these discounted fares which will automatically be applied when booking through Direct Travel. We also have significant funds and flight credits available through SW, and these will also be automatically applied and utilized when booking through Direct Travel. 

Directions for Booking Travel:

Whether you are booking online or by phone, please make sure that your Travel Profile is updated in Concur. To do this, login to Concur at www.concursolutions.com and hover over the blue icon on the upper right-hand side of the home page to open and update your Profile.  Please note that it is very important that your full, legal name is entered in Concur.  This must match the name that appears on your photo ID used for travel. If it does not, please contact Natasha Da Rosa and she will update in Concur as these fields cannot be updated by you.

For Southwest bookings – if you do not have a SW Rapid Rewards number, please sign-up before booking your travel. This is not optional so please complete this step before booking any SW flights!  To sign up for SW Rapid Rewards, go directly to the SW website at www.southwest.com, click on “Rapid Rewards” at the top of the page and choose Sign Up under the Program section.  Once you have your SW Rapid Rewards number, please make sure it is entered in your Travel Profile in Concur before you book your flights.  Not only will you receive loyalty points with SW, but SPR will earn points and credits that can used for future flights for anyone within the company.  

Once your Concur Travel Profile is up to date, you are ready to book your travel.

Travel Plans should be made as follows:

Arrivals – Friday, January 17th AM: Lunch will be offered from 12-1pm; General Session begins at 1pm

Departures – Sunday, January 19^th anytime.

If you have questions regarding your specific arrival and departure timing, please discuss with your manager.

We understand that some of you may not be able to fly in on Friday morning due to flight availability and Thursday night accommodations will be available for this based upon manager approval.

Airfare payment: Flights are typically paid for by the traveler and reimbursed by the company.  Please note that if you are booking SW flights, they will automatically be charged to the SW company credit card on file with Direct Travel, and you will not see the charges on your personal card. This is transparent during the booking process and is handled on the back end by Direct Travel.  If you are booking with another airline, and unable to prepay flight charges, please contact Kelly for alternative payment options.
